AI and Data Use Policy

Your company owns its data. This policy explains how AllyNow uses AI, how it learns from data across customers, and the lines it does not cross. It is part of the Master Subscription Agreement and the Design Partner Agreement, and capitalized terms have the meanings in those agreements or in the Data Processing Addendum.
1. How AllyNow uses AI #
Some AllyNow features use AI to suggest things such as labels, flags, photo captions and job details. The Documentation describes which features use AI. AllyNow may add, change or remove AI features over time.
2. Learning across customers #
AllyNow learns from how it is used and from job outcomes across customers, so it can help every customer get better results. To do that, AllyNow may use Customer Data to train and improve its AI models and to build analytics. Before Customer Data is used for training or for analytics across customers, AllyNow removes or masks personal information, such as names, contact details and signatures.
3. What other customers never see #
No customer can see another customer's data through AllyNow. AI suggestions and other features are grounded in your company's authorized data and in what AllyNow has learned, and they will not show your company another customer's identifiable data, prices, rates or clients.
4. Pricing information #
Your company sets its own prices. AllyNow will not require your company to use any price it suggests, or penalize it for not using one. AllyNow will not:
- share your company's current or future prices, rates, bids or other commercial terms with another customer;
- use your company's non-public pricing to suggest or set prices for another customer; or
- use personal information about your company's clients to suggest what those clients are charged.
Any benchmark or other pricing insight AllyNow provides or shares uses only historical data at least three months old, combined from at least five unrelated companies, with no single company making up more than 25% of any figure, and it never identifies a company. If a law that applies to AllyNow sets a stricter rule for pricing information or pricing tools, AllyNow will meet it.
5. AI model providers #
Some AI features use outside AI model providers, which are listed as Subprocessors in the Data Processing Addendum. Changes to that list follow its notice process. AllyNow sends a provider only the data a feature needs, and providers may not use Customer Data to train their own models. A provider may store data only as its contract with AllyNow allows, for example for a limited time for security and abuse monitoring.
6. Review AI suggestions #
AI suggestions can be incomplete or wrong. Users must review a suggestion before relying on it or sending it to anyone, and your company remains responsible for the documents it issues and the decisions it makes. Where practical, AllyNow labels AI suggestions so users know to review them.
7. De-identified data #
AllyNow may create de-identified data from Customer Data and use, publish, share, sell or license it, for example as industry insights, benchmarks or data products. De-identified data cannot reasonably be used to learn about, or be linked to, an identified or identifiable person, household or device, or your company, its clients, properties or projects. For all de-identified data, AllyNow:
- takes reasonable technical and organizational measures to keep it de-identified, including controls against re-identification and against accidental release;
- leaves out sensitive personal information, such as health, biometric or precise location data about individuals;
- combines any pricing information as Section 4 describes;
- requires by contract that anyone who receives it keeps it de-identified, does not combine it with other data to re-identify anyone, and passes the same duties on;
- reasonably oversees recipients' compliance and acts on any breach, including by stopping the use if data is re-identified; and
- meets any stricter standard for de-identified data set by a law that applies to AllyNow.
AllyNow publicly commits to keep and use de-identified data only in de-identified form and not to try to re-identify it, except to test its de-identification methods.
8. What AllyNow will not do #
AllyNow will not:
- sell, license or give your company's data to anyone in a form that identifies your company, its people, clients, properties or projects;
- let another customer see your company's data;
- sell, license or give your company's data, or data made from it, to insurance carriers or third-party administrators; or
- use your company's data for advertising.
AllyNow may still share data with approved Subprocessors, with its advisors or a successor business under confidentiality duties, at your company's direction, or when the law requires it.
9. Usage data #
AllyNow collects technical and usage information, such as feature use, performance and errors, to run, support, secure and improve AllyNow. Error reports may sometimes include small amounts of Customer Data. AllyNow keeps that to a minimum, limits access to it, and treats it as Customer Data.
10. Questions and changes #
Email support@ally-now.com with questions. AllyNow may update this policy under the Master Subscription Agreement, which requires at least 30 days' email notice before a change that materially reduces your company's rights.
